Service Agreement & Terms

These Vendor Agreement and Policies are issued by The Bloom Room NC, LLC (“The Bloom Room”). By submitting a vendor application and payment, you acknowledge that you have read and agree to the following terms.

Booth Space

Vendors receive one 10×10-foot booth space unless another arrangement has been approved in advance.

Vendors must provide everything needed for their setup, including tents, proper tent weights, tables, chairs, displays, extension cords, and independent power solutions when required.

Booth spaces may not be shared, transferred, or sublet without prior approval from The Bloom Room.

Setup and breakdown instructions will be sent by email before each event and must be followed. Late arrival may result in forfeiture of the assigned space without refund.

Payment

Each market is invoiced individually. Vendors may pay for multiple approved markets at once.

Payment is due by the first day of the month preceding the event. Vendors accepted during the same month as an event must pay within 48 hours of receiving an invoice. For example, payment for a July event is due June 1st.

A booth is not reserved until payment has been received. Failure to pay by the deadline — or to contact The Bloom Room to request an extension — may result in loss of the booth space and removal from additional unpaid events.

Vendors experiencing financial difficulty are encouraged to contact The Bloom Room before the payment deadline.

Cancellation & Refunds

Vendor payments are nonrefundable and nontransferable. If a vendor cancels or is unable to participate, the vendor fee will not be refunded or credited to another person or event.

If an event is postponed because of severe weather, venue closure, government restrictions, a public-health emergency, natural disaster, or another circumstance beyond reasonable control, paid registrations will transfer to the rescheduled date whenever possible.

The Bloom Room may provide another arrangement or approve a refund exception at its sole discretion.

Liability

Vendors participate at their own risk. The Bloom Room, its organizers, event hosts, venues, and affiliates are not responsible for loss, theft, property damage, personal injury, or other damages arising from event participation.

Vendors are encouraged to maintain appropriate business, liability, and product insurance. Vendors agree to hold harmless The Bloom Room and its organizers from claims related to their participation.

Product Responsibility

Vendors are solely responsible for the products and services they offer. All products and services must comply with applicable safety, labeling, licensing, and regulatory requirements.

The Bloom Room does not warrant the quality, safety, or legality of vendor products or services. Complaints, returns, and other customer disputes must be handled directly by the vendor.

Conduct & Event Rules

Vendors must behave professionally and respectfully toward event staff, venue personnel, attendees, and fellow vendors.

Vendors must comply with all venue rules, safety requirements, setup instructions, and event policies. The Bloom Room may remove a vendor without refund for conduct that is unsafe, disruptive, discriminatory, unprofessional, or otherwise inappropriate.

Photography & Promotion

By participating in a Bloom Room event, vendors authorize The Bloom Room to photograph or record their booth, products, and event participation.

The Bloom Room may use this material to promote its events through its website, social media, advertising, and other marketing materials.
